Connecting the Dots: A System Thinking Approach to Internal Operations

As Solv’s operations grew in complexity, internal teams like Operations, Finance, Support, and Supply were heavily reliant on disconnected Excel sheets and lengthy email threads to manage day-to-day workflows. This fragmented approach led to operational inefficiencies, such as delays in accessing accurate order or payment information, duplicated efforts, and frequent miscommunication between teams. Customer Support teams often found themselves chasing updates across departments, resulting in slower resolution times and increased frustration. These inefficiencies didn’t just affect internal morale, but they also impacted the end-user experience, with sellers frequently facing delays, inconsistent information, and reduced trust in the platform. To address these systemic issues, we initiated the design of a unified admin tool aimed at improving process visibility, coordination, and overall efficiency.

Challenges

Fragmanted, siloed data stored in Excel sheets across departments

4-5 mails required just to get an update on a single order

Lack of real-time visibility into order status or issue ownership

Delay in resolution, leading to high frustration for the customer support

Increased dependency on manual follow-ups and escalations.

Impact

Improved customer resolution time with centralized, trackable workflows

Reduced internal support tickets and seller inquiries through proactive order status tracking

Significant drop in email chains, improving operation efficiency and employee satisfaction

Delivered the tool on time with phased rollouts, starting with the Order tracking module.

Approach

Conducted contextual inquiries with teams across Operations, Finance, Support, and Supply

Mapped workflows to identify redundancies, handoffs, and pain points

Created an Impact vs Priority matrix to align stakeholder needs and feature scope

Planned phased module rollouts, balancing delivery speed and system stability
